Inviting participants

There are two separate doors into a study: participants join through your public study page, and team members join through email invites. They work differently on purpose.

How participants join

Participants join from your study’s public page — indacas.com/your-handle/your-study — via its Join page, which runs your onboarding flow. Two things must be true before anyone can join:

  1. Visibility allows it. Public studies are listed and anyone can apply; invite only studies are joinable only by people you send the link to; internal studies can’t be joined from outside at all.
  2. Recruitment is open. This is a switch on your public study page, separate from visibility. While recruitment is closed, the join page says the study isn’t accepting participants (and shows your contact email if you’ve set one).

Open recruitment last in your setup: new participants go through whatever consent and onboarding exists at the moment they join.

The join card shows your eligibility criteria before the button, so people can self-screen. Participants can withdraw at any time from the same page, choosing a reason — including requesting deletion of their data.

One rule worth knowing: members of a study can’t also join it as participants.

Inviting your team

From the study’s Invites page, invite members by email and pick a role — admin, curator, data entry, member, or billing — which controls what they can do. You can edit a pending invite’s role, resend it, or revoke it.

The invitee accepts by following the emailed link while signed in to an Indacas account with that email address verified. Invites expire, and revoked or expired invites can simply be re-sent.
