Attaching files to records

You can attach images and PDFs to a participant or member record, such as a scanned form or a photo. Attachments belong to the record and are treated as private study data.

HEIC photos (the iPhone default) are not supported. Choose JPEG or PNG when you save or export the photo. Password-protected PDFs and other file types are refused.

Who can upload and view them

Study members whose role lets them manage records can upload attachments. Anyone whose role lets them view records can open and download them. See Roles and permissions.

What happens after you upload

Every file is scanned for malware before it is stored. While that happens the file shows as Checking for malware, and it appears in the record’s Files tab when the scan passes. If a file is refused, you’re told why.

Images are re-saved during the scan, which removes hidden metadata such as the location a photo was taken. Images open in a viewer on the record. PDFs can only be downloaded, not opened in the browser.

Storage

Attachments count towards your study plan’s media storage. Record and response data does not.

Erasure and deletion

Erasing a record’s personal data removes all of its attachments. Deleting a record deletes its files, and so does permanently deleting a study.

Exporting

A whole-study export includes attachments only when you set a password for it, and only up to 100 MB of files in total. Larger sets are listed in the export, and each file can still be downloaded from its record.
