Responses and results

Two tabs cover what came back: Responses for the individual records, Analysis for the summary.

The responses list

Every response, with its status, respondent where known, start date and completion date. Opening one shows that person’s answers rendered in the version of the survey they actually saw.

Statuses:

  • Not started — the invitation exists, nothing has been answered.
  • Started — answered in part and not yet finished.
  • Completed — finished.
  • Reopened — a completed response that’s been opened again for further answers.
  • Screened out — routed out by a logic rule rather than abandoned. See Capping and screening responses.

Responses made through Preview carry a Preview badge and don’t count towards your results.

Partial responses

Started responses are kept, not discarded. Answers are saved as they’re given, so someone who closes the tab halfway through hasn’t lost what they’d done, and a link distribution can be resumed.

Whether you analyse partials is your call, but decide it deliberately and say which you used — dropping them silently is one of the quieter ways a result goes wrong.

Deleting a response

Individual responses can be deleted. It’s permanent, and it’s the right tool for a test response that escaped into real data or a participant asking for a specific submission to be removed. Deletions are recorded in the survey’s activity log.

For a participant’s personal details rather than a whole response, see GDPR and your rights.

Analysis

The Analysis tab summarises the survey question by question, so you can see distributions and completion without exporting anything. It’s for reading the shape of your data, not for statistics — that’s what the export is for.

Exporting

Export from the responses list. You choose:

  • Format — CSV or JSON.
  • Password protection — optionally deliver the export inside an encrypted zip rather than a bare file. You set the password, it’s the only way in, and it isn’t stored anywhere. Lose it and you export again.

Bulk exports are logged explicitly as data leaving the platform, with who exported and when. See Exporting your data.

Reading across versions

Each response records the version of the survey it was answered on. Where you’ve made a change that splits comparability — reworded a question, changed a scale, altered logic — that version number is the boundary to split or filter your analysis at. See Editing a live survey.
