Managing your subscription and billing details

Where billing lives

Each study and each organisation has its own Billing page in its settings, and your personal survey plan lives under Account → Billing. Each shows the current plan, what’s included, usage against the plan, and the actions below.

You need the right role to see a study’s or organisation’s billing: owner, admin or the dedicated billing role.

Adding a card

Trials need no card. To keep a plan after the trial, choose Add a card on the Billing page. You are taken to our payment provider’s secure page and returned when the card is saved. Card details never touch Indacas.

Changing plan

Choose a plan from the plan grid and pick monthly or yearly billing. The change applies to the existing subscription from today, prorated; nothing you have collected is affected. Moving to a smaller plan lowers the caps it enforces, so check usage first.

Who pays for a study in an organisation

A study created inside an organisation can be billed to the organisation’s account or to a card of its own. The organisation’s billing settings decide whether studies may bill to it; when they may, owners, admins and billing members get the choice when the study is created. Billing to the organisation uses its prepaid funds first, then its card, and the invoice goes to the organisation.

Who pays can be switched during the study’s trial from the study’s Billing page. Once the first payment has been taken, contact us and we will move it.

Prepaid funds for organisations

An organisation can put budget on its account up front from its Billing page. Funds are applied automatically to the organisation’s own invoices and to any study billed to it. They do not expire and are not refundable.

Response credits

Paid survey and organisation plans can buy response packs when a period’s allowance is used up, and can turn on automatic top-ups. See Plans and pricing explained.

What the statuses mean

  • Free trial: running on a trial, nothing paid yet.
  • Active: a live, paid subscription.
  • Payment failed: a payment didn’t go through; update the card.
  • Ending soon: cancelled, still running until the end of the paid period.
  • Cancelled: ended. Data stays; the plan’s features and allowance are gone.
  • Suspended: paused after repeated failed payments.
  • Incomplete: setup didn’t finish.

Invoices and billing details

Invoices are issued by our payment provider to the billing email and appear on the Billing page as they are paid. If your institution pays against a purchase order, or needs our company and bank details to set us up as a supplier, see Paying by invoice and supplier information.

Cancelling

Cancel from the danger zone on the Billing page. Access continues until the end of the paid period, then the study or organisation falls back to the free tier and a personal plan returns to Free. Export anything you need first; see Exporting your data.

  • Finished with a study? Cancelling the subscription is a billing action, not a closing action. Close recruitment and set visibility too. See Closing or deleting a study.
  • Only want to spend less? Change plan instead of cancelling.
